About the Role
Organising and providing proactive confidential executive and secretarial support for the Health Service Chief Executive.
Managing and coordinating the administrative function for the Health Service Chief Executive through effective time management, managing the workflow of correspondence, monitoring important issues, and follow-up action when required, and identifying the need for and facilitating the timely preparation of briefing notes/materials for meetings.
Maintaining a good working knowledge of current matters/issues relating to the Office of the Health Service Chief Executive and providing advice and assistance to the Health Service Chief Executive, and other senior stakeholders as required.
Liaising and effectively communicating directly with members of the public, external organisations, personnel at all levels and disciplines within Children's Health Queensland and senior officials in the dissemination of information and decisions in a professional manner.
Examining and researching reports, correspondence and submissions as required for consideration/ discussion and taking further action as necessary within predetermined authority and monitoring timeframes to ensure all necessary actions/follow-up and responses are completed within these timeframes.
Working autonomously to provide secretariat support for high level Executive meetings, including formulating agendas, preparing minutes, and undertaking follow up action as required.
Using discretion, autonomously redirecting and responding to matters on behalf of the Health Service Chief Executive within defined boundaries.
Supporting the Manager, Office of the Health Service Chief Executive in the effective management of the executive office, including providing professional support to the team of Executive Support Officers.
Liaising effectively with the Executive Support Officers within the Office of the Health Service Chief Executive to enable the delivery of effective and timely administrative services.
