You will provide a highly professional standard of administrative and clerical support to the Executive Assistant to the CEO of South East Melbourne Hospitals, caregivers and the Executive Office as required.

The Position
- Provide administrative support to the Executive Assistant to the CEO and Executive Members as required.
- Maintain confidentiality and regulatory compliance across all records and communications.
- Manage communication including telephone, mail and emails, redirect if appropriate, bringing urgent items to relevant managers’ attention.
- Ensure all telephone calls directed to the Executive Office are handled in a professional manner, including screening, redirection and follow-up where required.
- Completion of various documents to a high standard i.e. letters, memos, reports, advertisements as required and special projects as required.
- Assist in coordinating meetings including organising venue/webex, meeting agenda, and taking and transcribing meeting minutes/notes in a timely and efficient manner.
- Assist with internal communication (promoting events), catering, calendar invites as needed.
- Maintain a well organised filing and information system while ensuring the privacy and security of documents adhere to hospital protocols.
- Provide Divisional Management Committee support where required.
- Liaise with IT and other business-related departments to ensure that all operational systems operate optimally
You will have substantial experience in office administration and well-developed interpersonal skills, the ability to communicate effectively with clients, caregivers and other stakeholders, will be essential to this position.
To succeed, you must have advanced computer skills including proficiency in Microsoft Office Suite and the ability to produce high quality letters, reports and presentations.

- Salary: $67,569 to $69,232 per annum, plus 12% superannuation
- Permanent full-time position available
