About the Role

As our NSW Facilities Coordinator, you will play a vital role in ensuring the delivery of high-quality, consistent facilities services across our New South Wales locations. Reporting to the Facilities Manager, you’ll be responsible for maintaining safe, functional, and well-presented spaces that reflect the high standards of experience and community The Commons is known for.


This is a hands-on, detail-focussed role that suits someone with a strong service mindset and a passion for operational efficiency. You will coordinate and deliver maintenance programs, manage vendor and contractor relationships, ensure WHS compliance, and contribute to ongoing improvements in how our spaces operate.


You’ll also work closely with Community Teams to support day-to-day facilities troubleshooting and ensure that member needs are responded to quickly and effectively. Every day will bring a variety of tasks and opportunities to improve systems, solve problems, and contribute to creating environments where people can do their best work.


Key Responsibilities

Operations & Service Delivery

  • Execute The Commons’ NSW facilities operations strategy, ensuring seamless, member-focused service in alignment with business objectives.
  • Proactively manage routine building inspections, maintenance schedules, and preventative programs to deliver consistent operational excellence.
  • Lead swift and effective resolution of maintenance issues and critical repairs, minimising disruption to service.
  • Manage vendor and contractor relationships with a strong focus on service level agreements (SLAs), key performance indicators (KPIs), and service quality.
  • Support contract negotiations and manage service agreements to drive value and accountability across service providers.
  • Coordinate and oversee capital works, refurbishments, and new site openings, ensuring minimal impact on member experience.
  • Refine, and enforce internal protocols for cleaning and maintenance, driving service consistency and excellence.
  • Conduct regular audits of cleaning standards and initiate timely corrective measures to meet or exceed service expectations.
  • Oversee procurement and stock management to ensure timely availability of supplies and cost-efficient service delivery.
  • Collaborate cross-functionally (e.g. IT, Operations, Community Teams) to ensure operational services fully support business and member needs.

Leadership & Team Support

  • Act as a point of escalation for Community Teams, providing expert support in resolving complex facilities issues quickly and effectively.
  • Mentor and guide team members to uplift knowledge and ownership of daily facilities operations.
  • Deliver practical training to enhance service capability across teams, focusing on responsiveness and issue prevention.

Compliance, Safety & Risk Management

  • Ensure full compliance with all WHS and regulatory requirements across NSW locations through proactive monitoring and education.
  • Conduct detailed risk assessments and lead incident investigations, ensuring timely implementation of preventative actions.
  • Drive a culture of safety, accountability, and service reliability across all facilities and staff.

Member & Workplace Experience

  • Champion a clean, safe, and high-functioning environment that supports exceptional member experiences and service satisfaction.
  • Work collaboratively with Community Teams to identify and respond to facility issues that impact service delivery.
  • Actively incorporate member feedback into ongoing improvements, ensuring facilities services continually meet evolving user needs.

Required Skills & Experience

  • 3–5 years’ experience in facilities, property, or operational management, ideally across multi-site environments with a strong focus on service delivery.
  • Proven ability to lead maintenance programs, manage vendor performance, and negotiate service contracts that uphold high service standards.
  • Solid understanding of WHS compliance, risk management, and maintaining safe, functional workplaces.
  • Exceptional time management and problem-solving skills, with a proactive approach to identifying and resolving operational issues before they impact service.
  • A hands-on operator who’s always looking for ways to improve systems, streamline processes, and elevate service quality.
  • Thrives in fast-paced, team-oriented environments, maintaining a calm, solutions-focused mindset under pressure.
