We are excited to offer an opportunity for the role of Intern Program Coordinator — a key position supporting the success and smooth operation of our Intern Placement Program. This role is ideal for someone who is highly organised, detail-oriented, and passionate about creating a positive learning experience for future veterinary nurses.
The Intern Program Coordinator is responsible for managing the end-to-end administration and support of the Intern Placement Program. From the moment an applicant expresses interest to the day they complete the program, you'll play a pivotal role in ensuring their journey is seamless and well-supported.
You’ll serve as the primary liaison between Interns, clinics, mentors, and the AVT team — facilitating onboarding, tracking progress, and maintaining consistent communication throughout the program lifecycle. You’ll also contribute to program improvement, student engagement, and internal reporting.
This is a dynamic and fast-paced role requiring strong multitasking ability, excellent communication skills, and a collaborative mindset.
Job Description
- Conduct pre-screening calls with Intern applicants
- Source and coordinate Intern placement opportunities
- Process enrolments and issue key documentation (LLN, CAGE access, enrolment links)
- Maintain accurate records and clinic tracking across internal systems
- Support onboarding: send welcome communications, mentor induction packs, and timetables
- Monitor student progress and update relevant stakeholders
- Facilitate deferral, cancellation, refund, and performance management processes
- Conduct Zoom assessments and assist with completions
- Provide support via shared inboxes and phone to students and clinics
- Collaborate closely with the AVT team to ensure smooth program delivery
- Assist with program marketing, scholarship, and job-seeking initiatives
- Prepare monthly reports for RHNs and internal stakeholders
Qualifications
- Highly organised with strong attention to detail
- Comfortable working across multiple systems and platforms
- Confident communicator with excellent interpersonal skills
- Able to manage competing priorities and meet deadlines
- Passionate about supporting student success and continuous improvement
- Cert IV VN qualified, minimum 3 years’ industry experience
- Cert IV TAE highly desirable or willing to obtain
Additional Information
Please note: This role is part-time, 20 hours per week and does have scope for remote work with travel to our North Ryde Support Office as required.
