Operated by Healthscope, Northern Beaches Hospital (NBH) is located in Frenchs Forest, only 13kms north of Sydney CBD. The hospital is a contemporary 488 bed facility comprising of public and private beds. Northern Beaches Hospital is a dedicated facility for all patients in the local area, designed to optimise patient safety and overall experience, and to provide meaningful management and operational efficiencies that benefit everyone. Key to the hospital’s success is a highly skilled and expert team of staff who are supported by a comprehensive range of professional development opportunities.

JMO Unit sits within NBH Medical Workforce and provides specific advice and support to Junior Medical Officers (JMO’s) relating to recruitment, onboarding, rostering, payroll, leave management, education and pastoral care. This includes JMOs employed directly by Healthscope, as well as NSW Health employees who are rotating to Northern Beaches Hospital.

About the Role

The Medical Workforce Coordinator is responsible for providing efficient and effective administration services to the functions that support the Medical Workforce Unit, including:

  • Coordinating education, rostering, and on-boarding for LHD
  • Supporting the delivery of clinical services across the hospital and liaising with key stakeholders at NBH, NSW Health and Healthscope.

You will play a vital role in ensuring the efficient and effective operation of our medical workforce. This position reports directly to the JMO Unit Manager, and works in collaboration with the Medical Workforce team.

Key responsibilities:

  • Creating and Administer JMO rosters, ensuring that rosters are equitable, cost effective, best roster practices are followed and additional rostered/unrostered overtime is managed accordingly and adheres to safe working hours as per the JMO awards.
  • Maintain the daily rosters including sick leave, over time and annual leave cover for all JMOs
  • Coordinate JMO on-boarding and credentialing, and manage JMO rotation processes for Healthscope and Northern Sydney Network, business units, and secondment sites as required.
  • Provide a broad range of administrative support, including preparing reports, newsletters, correspondence, meeting papers and audits (mandatory training, AHPRA, Visa, WWCC, Safe Working Hours, UROC).
  • Assist with junior and senior medical staff enquiries, orientation and wellbeing by providing timely advice, support and guidance as appropriate.
  • Maintain comprehensive knowledge of relevant industrial awards, legislatives requirements, and policies and procedures at a local, district and State level.
  • Contribute to the overall strategic direction of the unit, and achievement of key performance indicators, planning and implementation as required.

Essential requirements:

1. Relevant tertiary qualifications and/or relevant equivalent work experience, ideally in a Medical Workforce or hospital setting.

2. Strong interpersonal skills and the ability to collaborate effectively with the Medical Workforce Unit Manager, and team members.

3. Demonstrated ability to take initiative, work independently, and learn quickly, whilst in an ever changing environment which requires a high level of flexibility and adaptability.

4. Proven ability to manage workload in a high volume environment, with competing priorities, requiring high level analytical skills and high level of attention to detail.

5. Proven ability to liaise with and build rapport with a diverse range of staff whilst maintaining confidentiality and exercising discretion.

6. Demonstrated excellent written and verbal communication skills and interpersonal skills.

7. Demonstrated proficiency in the use of Internet, e-mail technology and MS Office applications and experience in the use of complex electronic/software systems and applications. Proven ability to learn new software applications

Desirable requirements:

1. Demonstrated knowledge of roster and/or payroll processes and practices with the ability to interpret employment conditions and awards for medical staff.

2. Demonstrated knowledge of recruitment and remuneration processes and practices with the ability to interpret employment conditions for medical staff.

To be successful in the role you will:

  • Prioritise effectively and function in a busy teamwork environment to meet deadlines;
  • Proven ability to learn new software applications/programs;
  • Have experience in a similar unit in the public or private sector;
  • Demonstrate knowledge of computer applications including but not limited Microsoft Office and the Internet/Intranet
  • Liaise with and develop positive working relationships with internal and external stakeholders
  • Demonstrate knowledge of, or proficiency to learn medical terminology
  • Handle sensitive matters with discretion and maintain a high level of confidentiality
