We are seeking a detail-oriented, proactive, and friendly Administration Officer to join our growing team in Edmondson Park. About the Role
As our Administration Officer, you’ll be the first point of contact for clients, staff, and stakeholders—ensuring a professional and positive experience from the moment they walk through the door or get in touch. You’ll play a key role in supporting daily operations, maintaining compliance, and contributing to an organised and welcoming practice environment.
Key Responsibilities
- Welcome clients and visitors with warmth and professionalism
- Act as the first point of contact for all phone, email, and walk-in enquiries—responding within 24 hours
- Support therapists with day-to-day administrative tasks
- Manage client intake procedures and schedule new appointments
- Process Medicare claims, invoicing, payroll, and accounts receivable
- Maintain accurate and up-to-date client and staff records
- Provide human resources support, including onboarding of new team members
- Assist with internal and external audits by preparing documentation and supporting compliance efforts
- Coordinate marketing efforts such as content creation, social media, and campaign materials
- Attend staff meetings and take accurate meeting minutes
- Maintain a tidy, hygienic, and hospitable front-desk and practice environment
Requirements
- Valid Working With Children Check (WWCC)
- Current First Aid and CPR certificate
- Current National Police Check
- NDIS Worker Screening Check
- Full working rights in Australia
- Excellent verbal and written communication skills
- Strong organisation, time management, and multitasking abilities
- Proficient English language skills and confident phone manner
- Intermediate experience with Microsoft Excel
- High attention to detail and professionalism
- Positive attitude and strong interpersonal skills
- Experience in allied health, NDIS, or medical administration (highly regarded)
