About the role:
The Workplace Coordinator manages daily workplace operations while providing versatile support across multiple office functions for locations in Sydney and Melbourne. This role coordinates facility services, handles administrative tasks, and supports various office needs through a flexible, multi-skilled approach. The position serves as a key workplace resource, maintaining a productive office environment while adapting to diverse operational requirements.
The role is based in the Sydney office Monday to Friday, 8:30am -5:00pm.
Key Responsibilities:
Coordinate daily facilities operations including maintenance, cleaning, and service delivery
Process workplace service requests and ensure timely resolution
Provide administrative support including document management and basic office functions
Support reception and front-of-house operations including visitor management
Assist with meeting coordination, room bookings, and event setup
Provide basic IT support such as equipment setup and troubleshooting
Coordinate space changes including moves, adds, and changes to workstations
Assist with catering arrangements and food service coordination
Conduct regular facility inspections and quality checks
Assist with employee onboarding regarding workplace services and procedures
Coordinate with vendors and service providers to ensure effective service delivery
Manage reception and concierge services to ensure a high-quality visitor experience
Oversee the entire vendor management process, including sourcing, contract preparation, invoicing, budgeting, and vendor onboarding
About you:
Experience working in office support, facilities coordination, or administrative roles
Strong customer service orientation with excellent interpersonal skills
Experience with service management and problem resolution
Strong organisational skills with ability to prioritize multiple tasks
Experience coordinating with service providers or vendors
Background in event coordination or meeting management
Experience with space planning or move coordination
The Workplace Coordinator moves throughout the facility regularly, requiring comfort with standing and walking for extended periods. The role involves occasional physical activities such as moving light furniture, handling supplies, and accessing various building areas. The position may require occasional evening or weekend hours to support special events or urgent needs.
