Primary objective
The position will provide essential administrative and project support including but not limited to, executive administration and
coordination, travel coordination, meeting and workshop preparation and secretariat functions.
Key duties and responsibilities
1. Provide administration support including receiving telephone calls, generic email management and action as appropriate,
calendar management, preparation of correspondence and other documentation, filing, accounts payments, reconciliation and
management, purchasing and processing of accounts for payment in accordance with procurement and financial management
guidelines, travel arrangements and other administration duties as required.
2. Manage and maintain efficient and effective administrative control systems for the unit including updating information,
maintaining electronic filing systems, ordering procedures, asset management and ensure all documentation produced adhere
to NT Health standards and templates.
3. Organise and support meetings and workshops, including secretariat support, record taking and providing meeting papers as
required.
4. Liaise with and respond to enquiries in a professional manner from stakeholders within the branch and division departmental
staff, other government departments and non-government organisations.
5. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken
in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Experience in providing project and administrative assistance including secretarial support and contributing to a supportive,
collaborative team environment.
2. High level of professional and interpersonal communication skills (written and verbal), with the ability to deal effectively and
professionally with a wide range of internal and external clients, including senior executives, and with people of diverse cultures,
whilst maintaining confidentiality, discretion and professional integrity.
3. Sound organisational skills including the ability to work under pressure and prioritise and complete a number of tasks
concurrently within established timeframes while maintaining quality control.
4. High level of personal integrity, confidentiality, adaptability, motivation and flexibility including the ability to problem solve and
provide solutions and work independently at times with minimal supervision.
5. Well-developed and demonstrated office administration processes with proven experience in computer systems, records
management and other core business systems
Desirable
1. Certificate IV Business Administration and / or work experience in Administration in government.
