Primary objective
Provide executive administration and secretarial support and coordination to the Regional Executive Director Big Rivers
Region and the Department of the Chief Minister and Cabinet Katherine office.
Key duties and responsibilities
1. Provide confidential executive support to the Regional Executive Director including managing the flow of
communications, organising travel and diary management.
2. Provide reception and hospitality support services within the Regional Network Group’s Big Rivers office.
3. Liaise with other agencies to monitor issues and to ensure timely responses are given to all Ministerial correspondence.
4. Maintain effective working relationships with other government departments to ensure good flow of information,
cooperation on the preparation of submissions and the division of work in the public sector.
5. Provide project support to staff in the Work Unit regarding timelines, protocol, document formatting and operational
issues.
6. Provide support as required with procurement functions including travel arrangements, purchasing, liaising with
suppliers, organising payment and processing credit card transactions.
7. Provide executive and administrative support services to project groups and committees including arranging attendance
at meetings and maintaining relevant records.
Selection criteria
Essential
1. Demonstrated experience in working effectively in an executive administration support role, or equivalent.
2. Ability to work on several projects concurrently, prioritise workload, meet deadlines, be self-motivated with proven
ability to work independently and contribute as part of a team.
3. Ability to work effectively in a project support role displaying confidentiality, initiative and integrity.
4. High level of interpersonal and communication skills and ability to work effectively as part of a team.
5. An ability to interact effectively with people from diverse cultures.
6. Proven experience and skills in the use of computer software programs, including Microsoft Word, Excel, and email
applications
Desirable
1. An ability to use PowerPoint, and the Total Records Information Management (TRIM) system or similar
2. An awareness of the economic, political, cultural and social environment in which the agency operates
