Primary objective
Works as part of the Ambulatory Care Unit team to provide administrative support and appointment/waitlist management services for
specialist clinics located at Gove District Hospital and support telehealth service delivery within East Arnhem region.
Key duties and responsibilities
1. To work within the Northern Territory Health Service Outpatient Specialist Clinics Referral Receipt, Processing and Management
Guideline, and manage and monitor referral pathway and triage allocations and waitlist prioritising schedules.
2. Provide effective and efficient customer-focused service through the provision of information to the public regarding specialist
outpatient clinic appointments and services.
3. Assist in maximizing Hospital revenue by satisfying the requirements of Cross Border Charging and identifying compensable and
private patients.
4. Appropriately and professionally answer and direct all incoming correspondence made to the outpatient department.
5. Liaise with specialist clinicians, remote health services and patients to coordinate service delivery within EAR
6. Book all telehealth and clinical appointments as requested by Specialist Clinics Nursing staff at Gove Hospital for EAR clients.
7. Participate in data collection activities to monitor department performance.
8. Provide an effective and efficient patient support service by co-operating with fellow Operating Theatre and Ambulatory Care team
members to meet daily service demands and support co-ordinated client care with the flexibility to cover administrative duties that
make up the Ambulatory Care unit administration team.
9. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in
order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. High level of self-motivation, initiative and experience working unsupervised and as a member of a team in an extremely high pressure
and changing environment.
2. Well-developed knowledge, skills, and experience in administrative processes with Well-developed oral and written communication
and interpersonal skills
3. Demonstrated experience as first point of contact for patients providing high level customer service skills, with the ability to deal with
difficult situations.
4. Proven ability to organise and prioritise workload; to complete tasks and meet deadlines with a high degree of accuracy in a high-
pressure environment
5. Experience in using computer data management and software applications
6. Demonstrated experience of effectively working with people from diverse cultures
7. Proven ability to maintain confidentiality and deal with sensitive issues.
