About the Role:
The Art Gallery of Ballarat is Australia’s oldest, largest and most engaging regional gallery. Housing a nationally significant collection of over 11,500 artworks and hosting more than 35 exhibitions and 100 public programs and events each year, the Gallery is a key driver of cultural tourism to the Ballarat region as well as much loved local icon.
This role is responsible for maintaining accurate financial records, leading budget reporting, forecasting, and financial analysis, and supporting the development of the annual budget.
The position also provides executive support to the Director and Assistant Director–Engagement, including preparing official correspondence and reports.
Key responsibilities include supporting the Art Gallery Board through the preparation of agendas, minutes, and reports; managing contracts for outsourced services, including the café lease; and overseeing business support functions such as donor record management and the preparation of grant and funding proposals and acquittals.
About you:
We are looking for a dynamic, results focused, Business Support Officer to plan, coordinate and organise the administrative functions of the Gallery. Highly organised, with the ability to respond quickly to new challenges and priorities, the successful candidate will report to the Assistant Director- Engagement and work closely with the Executive team and the Gallery Board. A high level of financial acumen and excellent stakeholder engagement skills are required for this role.

Key Selection Criteria
- Relevant tertiary qualification with some demonstrated experience in Office Management, Financial Management and/or accounting procedures and practices or lesser formal qualification with relevant experience and skills
- Demonstrated experience managing budgets and reporting.
- High level interpersonal skills with experience in managing stakeholder expectations.
- Demonstrated ability to manage time effectively, prioritising competing demands to achieve work targets.
- Demonstrated ability to work in a team environment and gain co-operation and assistance from other employees and volunteers.
- Demonstrated computer skills, including the use databases and the MS Office suite
