Executive Assistant

About the role:

This critical role offers a unique vantage point at the very centre of Victoria's prosecution service. You will be the trusted liaison for the Solicitor for Public Prosecutions (SPP) and the Senior Leadership Team, providing pivotal support that enables them to lead effectively. As the central point of contact for key internal and external stakeholders, you will be instrumental in driving the smooth and efficient operation of the Executive office, ensuring strategic priorities are met with precision and professionalism. This is a rare opportunity to work alongside and directly support the key decision-makers shaping justice in Victoria.

You will:

  • Act as the primary point of contact for the Executive team, managing communications with internal and external stakeholders with professionalism and discretion.
  • Provide comprehensive diary management, schedule meetings, and coordinate appointments for the Solicitor for Public Prosecutions and Executive Directors.
  • Prepare, draft, and format a variety of confidential documents, including correspondence, reports, meeting agendas, minutes, and memoranda.
  • Manage the flow of information and correspondence through the Executive office, utilising records management systems such as TRIM.
  • Undertake research and analysis on legal and administrative issues as required, providing concise written and verbal advice to support Executive decision-making.

  • An unwavering commitment to maintaining privacy and confidentiality
  • Demonstrated experience providing high-level administrative support to senior executives, preferably within a complex, confidential, and sensitive environment.
  • Exceptional interpersonal and communication skills, with a proven ability to build and maintain effective working relationships with diverse stakeholders.
  • Advanced proficiency in the Microsoft Office suite and a demonstrated ability to apply technology in innovative ways to improve processes.
  • A proactive and flexible approach, with the ability to work independently with minimal supervision and demonstrate initiative.
