Key Result Areas:
- Provide effective leadership and performance management of the client service and administration team at the College.
- Manage the provision of high quality, efficient and effective service delivery to students and staff.
- Coordinate all administration functions associated with orientation, enrolments, graduation, and general office management.
- Oversee the mid- and end-of-semester results process, including results processing, release of results, mid- and end-semester reporting, and the printing and distribution of certifications and transcripts, through coordination of various learning management and student management systems.
- Coordinate course and unit database management, class timetabling, facilities management, and system rollover each teaching period.
- Coordinate student evaluations in consultation with the Student Engagement and Success Manager, including the issuance of intervention and study plans, as well as identifying at-risk students through the at-risk rating system.
- Liaise with the Sponsored Students Manager to coordinate sponsored student reports and cultural attache communications.
- Manage administrative processes and record-keeping for credit applications and articulation agreements.
- Coordinate administrative processes supporting the academic team and delivery of the learning process.
- Ensure student administration filing and archiving procedures are accurately maintained.
- Identify opportunities for continuous improvement and assist with the documentation of business processes.
- Build and maintain effective working relationships with key College, Navitas and University partner stakeholders.
- Perform other duties as required.
Qualifications
Qualifications and Selection Criteria
Essential:
- Education and/or relevant experience equivalent to completion of a degree, or a diploma combined with relevant work experience in an administrative capacity.
- Well-developed administrative skills encompassing problem-solving, analytical thinking, and a strong attention to detail.
- Proven ability to interpret, communicate, and assist in the review of policies, with a focus on enhancing procedures and operational processes.
- Excellent interpersonal and communication skills, including the capacity to liaise effectively with clients across both academic and administrative domains.
- Strong organisational skills demonstrated ability to coordinate and prioritise multiple workloads efficiently.
- High level of computer literacy, proficient in Microsoft Word, Excel, and database management systems.
- Experience in supervising and leading small teams.
- Work experience within the higher education and/or vocational education sectors, preferably within a commercial environment.
- Demonstrated experience in managing learning management systems (LMS) to support educational delivery and administration.
- Proven expertise in coordinating complex timetabling for large cohorts of students and classes, ensuring optimal resource allocation, scheduling efficiency, and minimising clashes and errors.
- Proven track record of consistently meeting KPIs and deadlines.
