How you will make an impact:
We are seeking a suitably skilled Administrator to join the Department of Anaesthesia and Pain Management at Cabrini Malvern hospital. The Administration Assistant will perform a variety of administration and reception duties in a busy environment maintaining excellent communication skills and an ability to problem solve, while ensuring a high standard of service is delivered.
The position is permanent part time, days: Wed, Thurs, Fri from 7:30AM – 3:36PM. Applicants must be available for these days/times on an ongoing capacity.
Key responsibilities:
Meet and greet clinical staff, such as consultant anaesthetists, trainees, and medical students.
Perform reception and administrative duties, including minute taking and other documentation as required.
Maintenance/updating Anaesthetic Department rosters and database.
Consult with key stakeholders of Cabrini Health where necessary.
Maintain files accurately and confidentially, attend to photocopying and collation, document distribution, and filing in a timely manner.
Assist in the organisation of events and functions as required.
What you will bring to the role:
You will be enthusiastic and self-motivated to produce high-quality administrative support and also have the following:
Proficiency in Microsoft Office and ability to learn new software with ease.
Sound numeracy, clerical and filing skills and relevant experience in a similar capacity.
Excellent customer service and communication skills with a positive and friendly attitude as you will be liaising with Anaesthetists, Floor Coordinators, Managers, Directors and other staff across the organisation.
Excellent organisational skills with the ability to be flexible when needed.
Ability to work efficiently, autonomously, and respectfully within the team.
Exceptional attention to detail as you will be juggling multiple, time sensitive activities that require accuracy.
Strong problem solving and time management skills as you will be coordinating rosters for Anaesthetists with varying availability and ensuring the rosters are full.
Ability to think on your feet and learn quickly as your days will be busy juggling multiple priorities.
