About the Role:
As an Administration Assistant, you will be responsible for ensuring the smooth and efficient operation of the reception and office areas.
As an Administration Assistant, you will be responsible for ensuring the smooth and efficient operation of the reception and office areas.
You will assist stakeholders seeking support, including individuals in distress, by directing them to the appropriate person or service, while always maintaining a high standard of confidentiality.
How you will make an impact:
- Conduct general administration, and clerical activities filing, data entry, general correspondence, and other generalist administration activities and may include SAMIS data entry
- Diary Management and assistance provided to Centre Manager to ensure efficient and effective scheduling of meetings, BRS inbox management including but not limited to room bookings, catering etc
- Oversight of Pool Cars ensuring efficient utilisation of booking system
- Utilising professional and friendly phone techniques and direction/messages of calls is carried out in an efficient and timely manner.
- Documentation and Data Entry is accurately prepared and provided within requested timelines and is readily available for access.
- Confidentiality to be maintained in all areas.
- In line with agreed delegation make decisions consistent with TSA Recovery Services and Centre Policy and procedures in relation to participant/staff matters.
- Solid understanding of TSA policies and procedures as they relate to area of responsibility.
- Evidence of strong client/customer focus and commitment to quality service provision.
- TSA Core values and behaviours demonstrated in all work-related activities.
- Other reasonable adhoc duties as and when required
.
What you will bring:
- Excellent communication and presentation skills, both verbal and written, with the ability to engage positively with a wide range of individuals.
- Proficient in Microsoft Office and familiar with accounting systems and databases.
- Strong organisational skills, with the ability to prioritise tasks and manage time effectively.
- A flexible team player with a positive attitude.
- High attention to detail.
Mandatory Requirements:
- Experience working in an administration or office environment with a degree of autonomy.
- Experience in a community service or not-for-profit setting (highly regarded).
- A current driver’s licence is preferred.
