About the role:
As our Scheduling Coordinator, you'll play a vital role in managing the scheduling of installations and measurements within our company. Your ability to coordinate resources, ensure timely project completion, and maintain effective communication with clients, installation staff, and internal stakeholders will be crucial. This role is essential in delivering a consistent, high-quality customer service experience to our clients.
What you'll be doing:
- Reviewing formal notifications from clients indicating measurement and installation site readiness.
- Contacting clients to negotiate alternate measure or install dates.
- Identifying incomplete installations and communicating requirements clearly, accurately and professionally.
- Scheduling jobs to their installation dates through ASANA and QuickBooks.
- Providing installation staff with weekly schedules for review.
- Phoning clients to ensure job progress is on schedule and site access is available.
- Reviewing and discussing installation details with staff to assess the completeness of the previous day’s installs.
- Managing project assignment of tasks in ASANA.
- Collaborating with the Production Supervisor to evaluate new incomplete jobs and determine correct routings.
- Coordinating maintenance schedules with clients and supervisors.
What you'll bring:
- Experience in scheduling
- Strong organisational and time-management skills
- Excellent communication and interpersonal skills
- Ability to work independently and meet deadlines
- Proficiency in ASANA, QuickBooks, and Microsoft Office Suite (bonus points!)
- Experience in the building industry or similar (bonus points!)
