Primary objective
Provide high-level executive and administrative support and coordination to the division’s Directors, as well as provide secretariat
and secondary support to Strategy and Performance staff to assist in the delivery of a diverse range of activities.
Context statement
The NT Fire and Emergency Services Strategy and Performance division is responsible for providing strategic corporate
governance and policy, audit and risk, communications and media, Secretariat/Ministerial Liaison, infrastructure and asset
management, work health and safety, and financial and budget advice to inform agency decision-making and reporting
responsibilities.
Key duties and responsibilities
1. Provide high-level executive and administrative assistance to Directors, including first point of contact, day-to- day support,
screening calls, drafting correspondence, filing, etc. and email and diary management, as required.
2. Assist Strategy and Performance staff with on-boarding, administration and corporate support, secretariat and project
requirements.
3. Provide assistance to Secretariat in the preparation of ministerial, Legislative Assembly, and Cabinet documentation as
required, ensuring procedures and timeframes are met, attention to detail and quality assurance, and corporate writing and
style guides are adhered to.
4. Ensure the effective flow of information through the division to Executive, including departmental briefings, submissions,
reporting requirements and actions.
5. Operate independently and effectively in a team, while maintaining a high standard of work and fostering positive
relationships.
6. Provide advice to divisional staff on complex matters and correct procedures and standards, and ensure work is completed
in accordance with legislation.
7. Authorise and organise reconciliation and coding of expenses and make purchases using the corporate credit card, as required.
Selection criteria
Essential
1. Sound knowledge of and demonstrated experience and capability in providing executive support and secretarial
services, with strong skills in prioritising tasks and managing time for others.
2. Sound knowledge of and experience in government structures, processes and protocols, or ability to obtain such knowledge
quickly and the ability to handle confidential and sensitive matters.
3. Broad knowledge base of and experience in a range of complex business management systems, with proven ability to manage
multiple deadlines within a dynamic and changing environment.
4. Demonstrated personal, interpersonal, written and oral communication skills, with a high attention to detail.
5. Sound knowledge of the objectives, functions, structure and services of government, or the ability to obtain quickly.
6. Sound knowledge of and experience in procurement, and corporate credit card management and procedures.
7. Demonstrated experience in corporate services operations, with the ability to support the Strategy and Performance division.
8. Excellent organisational and interpersonal skills, including an ability to positively interact with people from diverse cultures.
Desirable
1. Post school qualifications in administration, business or management, or a related discipline.
