Position Overview: The Facilities Coordinator is responsible for managing and overseeing all aspects of facility operations, ensuring a safe, compliant, and efficient environment. This role involves triaging calls and emails, coordinating repairs and maintenance (R&M), engaging with contractors, following up on any overdue jobs and maintaining communication with various stakeholders internally and externally.
Key Responsibilities:
1. Communication Management:
- Receive and log all incoming calls and emails related to facilities inquiries.
- Serve as the primary point of contact for all facilities-related issues.
- Assess inquiries to determine if they are discretionary or require immediate R&M.
- Evaluate urgency, safety concerns, and compliance issues for R&M requests.
- Escalate any jobs requiring urgent attention through appropriate channels.
3. Quotes and Service Level Agreements (SLAs):
- Obtain accurate quotes for requested services.
- Establish and communicate SLAs based on the urgency and complexity of requests.
- Identify and engage qualified contractors for maintenance and repair jobs from Guardians preferred contractors.
- Ensure contractors are aware of SLAs, job requirements and ensure these are always met.
- Conduct follow-up checks to ensure the satisfactory completion of jobs.
- Update the system with completion statuses and maintain accurate documentation.
- Report and address any safety hazards or compliance issues promptly.
- Escalate any WH&S issues through the appropriate channels.
- Review, check, and approve invoices against work orders, contracts, and agreed service levels to ensure accuracy before submitting for payment.
- Support budgeting and cost-control processes by maintaining accurate records of facilities expenses.
- Provide administrative support to the Facilities team as required.
- Collaborate with internal teams to ensure seamless facility operations.
- Prepare reports on facility issues, job completions, and contractor performance.
- Work closely with the Facilities Managers and to trouble shoot any issues on sites
