About the Role:
Reporting to the Operations Coordinator and working closely with the wider admin team, you will undertake general administrative activities which support the day-to-day operational effectiveness of the school.

Your responsibilities will include:
1. General administration & operations
- Provide front-facing support to HDR students, academic staff, and other school stakeholders, including managing mail and responding to general enquiries at the front desk.
- Share in school mailbox and other shared inbox management, order stationery, kitchen supplies and teaching consumables.
- Coordinate IT-equipment leasing and keep an accurate asset register.
- Support procurement activities including processing purchase orders, invoices, credit card reconciliations, and supplier payments.
- Contribute to continuous improvement initiatives by streamlining administrative processes and developing user-friendly documentation and resources.
- Maintain accurate records, databases, and filing systems in accordance with university policies and compliance standards.
- Provide administrative and on-the-day support for school-based awards nights, final-year presentations, end-of-year celebrations.
- Provide logistical and minute-taking support to the Industrial Advisory Committee and other meetings.
- Liaise with academic leads to support planning and delivery of school-specific events and initiatives (e.g. International Women’s Day, industry showcases, student engagement activities).
- Manage event logistics including venue bookings, catering arrangements, equipment hire, and IT/AV requirements.
Essential Criteria:
- A diploma in a related field and considerable relevant work experience, OR an equivalent combination of experience and education/training.
- Proven ability to run the full administrative life cycle of a busy work area, including events.
- Advanced Microsoft 365 skills and confidence with online content-management systems.
- Demonstrated organisational skills with the ability to manage multiple and often competing tasks with attention to accuracy and detail within deadlines.
- Excellent written and verbal communication skills with well-developed cross-cultural sensitivity and diplomacy.
- Sound judgement and demonstrable problem-solving skills, with the ability to use discretion and knowledge to determine appropriate actions.
- Demonstrated ability to work independently and effectively as part of a team.
- Previous experience in a university environment.
- As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered
- Successful applicants are subject to a National Police Clearance, and background, integrity, and reference checks to Curtin’s satisfaction.
- Ability to work outside of normal office hours as required, to support school events.
