The role
The Concierge is responsible for front-of-house and office support as part of the extended facilities team, including front-of-house coordination, facilities support and managing the security facilities to provide support and assistance to ensure efficient and effective day-to-day operations of the office and front of house.
The team
The Concierge operates as part of the Property and Facilities team (PF) within the Chief of Staff and Enterprise Services (ChES) division of APRA, which is responsible for supporting the achievement of APRA’s corporate strategies, policies, and procedures. This involves the delivery of various services to APRA’s internal clients and external stakeholders utilising both internal and external resources.
Key responsibilities
- Monitor incoming email, perform routine assignments, provide office support and catering internal requests;
- Manage a switchboard and ensuring calls are answered promptly and efficiently;
- Establish and maintain excellent working relationships with internal and external customers and suppliers
- Assist with physical security as part of the facilities function, such as access passes, End of Trip and tenancy access;
- Provide administrative assistance to the Office Manager and Facilities team, such as onboarding of staff;
- Support the Facilities team for the maintenance and communication of facilities and property matters, such as locate, repair and report faults to minimise disruption to daily operations for APRA staff;
- Assist and support service calls to contractors for works, including organizing access and notifying building management;
- Be the initial contact point for less complex facilities enquiries and assist in the effective dissemination of administrative information throughout APRA, including support of interstate offices; and
- Ad hoc invoicing, data entry, stock ordering and distribution and performing miscellaneous job-related duties as assigned by the Facilities team.

- Excellent organisational skills, ability to prioritise and comfortable working independently
- Exceptional oral and written communication skills
- Willingness and initiative to undertake a range of tasks, take ownership of processes and identify areas of improvement;
- Proficient computer skills and the ability to operate general office equipment, along with knowledge of Microsoft Office suite service desk workflow plaforms; and
- Relevant experience in an office setting, preferably in an administrative or reception role.
