We are seeking a AAV Operations Administration Officer to provide efficient and effective administrative, secretarial and office management support to the Manager Air Operations and other managers and staff within Air Ambulance. This is a Full Time Permanent position based out of Essendon Fields.

About the role

Reporting to the Manager Air Operations, responsibilities of this position include, but not limited to:

  • Assist the Air Ambulance Victoria management team (includes senior managers and team managers) with administrative and secretarial support; maintaining diaries, meetings, functions, catering, travel and accommodation
  • Manage the information on the Air Ambulance Victoria intranet page
  • Maintain confidential and detailed databases
  • Source and analyse information, including patient and flight data for specific AAV projects and requests
  • Assist the Manager Air Operations with the coordination of the AAV recruitment process, induction packages, ordering of uniform/ flight suits
  • Assist the AAV management team with the coordination of AAV operational staff training; weekly training reports, management of AAV staff training currencies
  • Manage stock requirements and processing of invoices

About you

To be considered for this position you will possess:

  • Demonstrated experience and expertise in providing secretarial and administrative support and maintaining administrative systems within an operational environment
  • Demonstrated understanding of meeting protocol with experience in agenda preparation and minute taking
  • Willingness to work outside of standard hours if required during emergency or crisis situations
  • Intermediate computer skills and proficiency of Microsoft Office suite applications including Outlook, PowerPoint, Word, Excel, Access and the Internet
