Primary objective
The Board Secretariat Officer is responsible for providing high level administrative and secretariat support to the Teacher Registration Board,
its committees, and the broader office. In particular, the Secretariat Officer is responsible for organising, attending, and taking minutes at
Board meetings.
Context statement
The Teacher Registration Board is a statutory authority responsible for administering the scheme of teacher registration in the Northern
Territory. The Office of the Board supports the Board to fulfill its functions, including teacher registration and authorisation, professional
conduct, the accreditation of initial teacher education courses and the professional development of teachers.
Key duties and responsibilities
1. Provide high-level secretariat services to the Board and its Committees, including the organisation and coordination of meetings,
preparation of agendas, meeting minutes, and supporting good governance practices.
2. Managing various Board registers including the attendance register, action register and conflict of interest register.
3. Draft routine correspondence, including emails and letters relating to the Board.
4. Work with the Finance Officer to organise Board member travel and catering for Board meetings
5. Liaising with Board members, Committee members, departmental staff and external stakeholders as required.
6. Provide ad-hoc administrative and project support to the Manager, Director and broader office as required
Selection criteria
Essential
1. Demonstrated experience in preparing high-level and accurate meeting minutes.
2. Demonstrated experience in an administrative or similar role, including email management and meeting coordination.
3. Demonstrated organisational skills, including the ability to work with minimal supervision, meet deadlines, take responsibility for tasks
and balance competing priorities while maintaining quality work.
4. Demonstrated ability to contribute to and quality assure written materials such as meeting papers and correspondence with high-level
attention to detail.
5. Proven integrity and initiative with the ability to manage sensitive and confidential information.
6. Demonstrated ability to comply with legislation, policy, procedures, and guidelines.
7. Demonstrated experience with accurate record management and record management systems.
8. Demonstrated written, oral, and interpersonal communication skills, with the ability to liaise with a range of internal and external
stakeholders.
Desirable
1. Qualifications in business, administration, legal studies or similar.
2. Experience working in a legal or regulatory environment.
